How to personalize work anniversary gifts for specific employees

Work anniversaries are an important part of any company’s culture as they mark the continued dedication each employee has given to their position. 

We understand the importance of employee recognition and we’ve made it easy to schedule a work anniversary gift so no one misses out on this special milestone! 

 tab available in the left-hand navigation: 

2. “Rules⚡” allow you to manage work anniversary gifts by scheduling them for every year or assigning them to a specific tenure. To create a rule, click on the “Create rule” button on the right-hand side of the screen.

3. A new rule will be automatically created for you. To edit the rule (you can edit the year, budget, image, title, message, or sender), click on the specific field and it will let you enter new information: 

4. To set the rule to apply every year, click on the clock icon beside the year digit: 

5. Click on the eye icon on the right side to preview your reward or click the red trash can to delete the reward: 

Please note that any reward or gift that’s created after the date of an individual’s work anniversary will not be sent until the next year. 

Good news! You’re not limited to monetary work anniversary rewards and can also opt to schedule a specific gift instead! Here’s how to do it. 

1. Find the specific anniversary rule that you’d like to add a gift to, and click on the blue gift icon beside the budget amount: 

2. Browse through our curated gift selection and select a gift. 

3. You can click on the gift again to preview your selection or click on the swap icon beside it to change it to a different product. 

4. Click on the eye icon on the right side of the rule to preview the notification that will be sent out: 

You can now send amazing gifts to celebrate your team’s work anniversaries! 

If you’d like to adjust work anniversary gifts for specific employees, you can do that through the calendar view at the bottom of the page.

To send personalized work anniversary gifts:

1. Find the employee’s name in the calendar and click on it. 

2. This will open a pop-up for the specific person’s scheduled work anniversary gift. If that individual does not yet have anything scheduled, there will be an option to “Add rule”, that looks like this: 

3. To make any modifications, you can click on the field that needs changing. This includes the monetary value for the reward, the display image, and the message that sends with the reward. You also have the option to add a gift instead of a monetary reward here: 

This feature lets you personalize the work anniversary reward for each specific individual and ensures that the recipient receives something that will speak to them! 

When you make a modification to an individual’s work anniversary reward, the modification will only apply to that individual. 

Please note that once you suggest a work anniversary gift to any employee, the budget that you’ve set will continue to apply. 

If the employee chooses to swap their gift for another product in the catalog, they can choose something of equal or lesser value to the budget that has been set. 

This work anniversary reward’s budget has been set to $30 but the suggested gift is valued at $10. 

In this case, the employee can swap the gift for any product worth up to $30. 

Within this feature, you will notice the various tabs at the top of the screen: 

1. In "Notifications", you have the option to create an email reminder for an anniversary, as many days before as you'd like. You can alert all admins and managers here too!

2. Under “Missing Anniversaries”, you’ll find the employees that do not have a work anniversary date entered in their profile. You can enter the dates manually or upload a CSV to ensure nobody gets missed. 

3. The “Recently sent” tab provides an overview of all the work anniversary gifts that have been sent out and whether the recipient has accepted them or not.

How to schedule work anniversary gifts

Team lunches are a great way to create long-lasting, positive relationships within the workplace! Here’s how to set up a lunch reward on PerkUp so all employees can enjoy their preferred meals during the event.  

2. Click on “Create reward” at the top of the screen

3. This will open a pop-up with various template options for the reward. You will notice there are lunch reward templates available for you to choose from, or you can create one from scratch: 

4. Once you choose your template, a new window will open that will let you modify the reward. Ensure the reward type is set to “Team Lunch”: 

5. From there, you can adjust the amount and decide on a date for the lunch. This will be the time range for when employees can use their team lunch stipend:

Please note that if you select a future time range but choose to send the team lunch immediately, recipients will be able to view the reward in their PerkUp accounts but will not be able to spend it until the set date. 

6. Choose your recipients who will receive the team lunch funds or send it to the entire team: 

It’s easy to personalize the team lunch notification to fit the occasion for your company! 

1. After completing the above steps, navigate under “Recipients” to view the title, message, and sender fields. All of these aspects can be edited by clicking on their text boxes: 

2. You can edit the image that will be sent with the lunch notification by clicking the blue “Replace image” button at the top of the screen. Here, you can choose between countless images or even GIFs to add to the notification: 

3. Simply click on your preferred image or GIF and it will provide a preview of how it will look in the notification. 

1. Under the “From” field, you will notice two sending options: “Send now” or “Schedule for later”

2. If you’d like to plan the team lunch in advance and do not want it to be sent to recipients right away, click on “Schedule for later” and choose a future date and time for the reward to be sent out: 

Doing this will ensure that the team lunch is sent on the preferred date.

How to personalize birthday gifts for specific employees 

All of us here at PerkUp understand the importance of making each employee’s birthday special. Your dedicated team deserves to be celebrated and that’s why we’ve made sending birthday gifts a breeze! 

Here’s how to celebrate your employee’s special day by scheduling a birthday gift for them.

Scheduling a specific gift instead of a monetary reward is easy on PerkUp! Here’s how to do it.

1. Find the specific birthday rule that you’d like to adjust with a gift, and click on the blue gift icon beside the budget amount:

Within this feature, you can create multiple rewards depending on your preference and assign them to specific individuals. 

1. To do this, find the individual within the calendar that sits at the bottom of the page. You can toggle between a monthly calendar or a list view depending on your preference. 

2. Once you’ve located the individual, click on their name to open a pop-up.

3. Here, you’ll see the available rules that you created on the right-hand side of the pop-up: 

4. Click on the preferred rule to schedule the reward for that individual! You can preview the email that will be sent to them by clicking on the “Preview Email” button at the bottom of the pop-up. 

How to personalize birthday gifts for specific employees

If you’d like to adjust your birthday for specific employees, you can do that through the calendar section at the bottom of the page.

It can be viewed through a monthly calendar or list view depending on your preference. 

2. This will open a pop-up for the specific person that looks like this: 

3. Here, you can click on any field that you’d like to modify, including: 

4. You can also opt to send a specific gift to the recipient by clicking on the blue gift box button beside the monetary value. Browse the gift options until you find your favorite and simply click on the blue “Gift” button to add it to the recipient’s reward: 

This feature lets you personalize the birthday reward for each specific individual and ensures that the recipient receives something that will speak to them! 

Please note that once you suggest and extend a work anniversary gift to any employee, the budget that you’ve set will continue to apply.

How to schedule birthday gifts

You will notice 3 different numbers when viewing your company balance. These include Balance, Outstanding funds, and Difference: 

This reflects how much money is currently available to be spent. 

 This shows how much money’s worth of rewards has been sent out. 

This is the result of your balance being subtracted from your outstanding funds. A negative difference implies that company funds of that amount need to be added to compensate for the sent rewards.

In this case, Acme Inc. has a $149.21 balance that’s available to be spent but has sent $174.07 worth of rewards (the outstanding amount). 

If all recipients were to spend their rewards, Acme Inc. would need to add a minimum of $24.86 (the difference amount) to the company balance for successful transactions to be made. 

 that if the company balance is not topped up to meet the minimum difference, users can experience declined transactions due to insufficient organization funds.

Understanding your company balance

Company swag is a great gift to help motivate and engage employees! Here’s how to send swag items as gifts through PerkUp. 

2. Once here, you can browse through your company’s swag collection and choose the item that you’d like to gift. 

3. After choosing the item, simply click on it and you will be taken to the product page that includes all of the product information.

Please note that the recipient will choose their size and color preference upon receiving the gift and you do not need to enter this information.

4. Here, you will also notice the blue “Buy now” button, and under it, the white “Gift” button. Once you’ve selected the color, you can click on “Gift”:

2. You will also see the item that’s been selected along with the price per recipient to send it. By clicking on the price dropdown, you can view a full breakdown of the cost: 

Please note that domestic shipping in the US is free while international shipping has a variable fee. 

3. After you’ve confirmed the item and cost, you can decide whether or not to include an expiration date for this gift:

4. After that, you can select the recipients of the gift. There is an option to “Select all” here if you’d like to send it to the entire team. 

1. Under the “Recipients” field, you will notice the “Title”, “Message”, and “From” text boxes. You can modify each one to personalize the notification for your team and company:

2. You can also adjust the image that will be displayed in the email notification. To do this, click on the blue “Replace” image button at the top of the screen: 

You can even add a GIF to personalize and add a touch of fun to the gift!

 How to send Swag as a gift

Scheduling rewards in advance is a great way to stay organized for employee recognition and ensure that your dedicated team is receiving the perks they deserve! 

2. Once here, click on the white “Create reward” button to reveal a pop-up of templates. 

You can choose any of the available templates or click the blue “new reward” button to start from scratch!

3. You will notice all of the personalization options on the left-hand side of the screen:

Here, you can select a monetary value for the reward, create an expiry date if you’d like, and also select the recipients who will receive the reward. 

 You can also adjust the Title, Message, and Sender fields to your preference. An option to customize the image or GIF that will be sent is available too.

4. The option to send the reward now or schedule it for a later date is available under the “From” field. Click the “Schedule for later” to select an upcoming date and time: 

5. Finally, click the blue “Schedule” button at the bottom of the page to complete the process!

How do I schedule a reward?

A CSV can be a useful way to maintain and manage your team’s people directory. 

We’ve made it easy to upload a CSV into your company’s PerkUp account and add all of your employees at once! Here’s how to do it. 

2. Once here, scroll to the bottom of the screen to find the “Upload CSV” option. 

3. Click on “Drop CSV” to import a previous file into your company’s PerkUp account. 

4. Click on “Download Template” if you’d like to create a CSV file to upload:

Here is the necessary information recommended for each employee in the CSV file:

Employees will receive updates and notifications and can accept all gifts and rewards via email

This is to help Admins organize their employee directory and create “Labels” inside the platform to categorize teams

Similar to Department - helps categorize and organize employees within PerkUp

Similar to Department - create groups within PerkUp

Providing a start date streamlines work anniversary rewards within PerkUp to ensure that you never miss out on an employee’s professional milestone.

Providing employee birth dates streamlines birthday rewards within PerkUp to ensure that you never miss out on an employee’s special day.

It’s important to note that when you need to make adjustments to your current CSV, you can upload a new file and it will be automatically updated in the company’s PerkUp account. 

Although you’re unable to delete or remove a current CSV, you can upload new ones at any time and the platform will make the necessary changes!

However, please note that individuals are not removed based on new CSVs. For example, if an employee was listed in the first uploaded CSV, but not the second one, they won’t be removed from the organization this way.

How to submit a new design for your Swag Store

Your company is always evolving, adapting, and growing and that means your team is too! 

Modifying your employee list is easy on PerkUp - here’s how to do it.

 You can find your employee directory in the 

 You can search for individuals via the search bar or you can apply certain filters to narrow down your search. You can search for employees through these categories:

in terms of their status in the company PerkUp account 

the level of access they have within the company PerkUp account

It’s important to keep user details up to date (e.g. birthday, work anniversary date) so you never miss an important moment of celebration and the opportunity to reward your people. 

To add your entire employee directory to the company’s PerkUp account at once, you can either upload a CSV file (a CSV template is available for you in the platform) or integrate your company’s HRIS platform into PerkUp. Both can be done in the 

Follow these steps if you’re looking to manually add someone to the company’s PerkUp account: 

 tab, you’ll notice the blue “+ Invite people” button at the top of the screen. 

 You can click on the button to open this pop-up, enter the team member’s email address and send them an invite to activate their account. You can also decide what level of access they will have in the company PerkUp account here:   

Click on the blue “invite” button under “Permissions” to complete the process and send them an emailed invitation to the platform! 

 To remove an employee, first find them in the employee directory. 

 You can click right on their name to open a pop-up that includes all of their user information. You will also notice the red “Remove from organization” button at the bottom of the pop-up: 

 After clicking “Remove from organization”, you will just need to confirm the removal to complete the process. 

 There’s also an option to block the user next to the red “Remove from organization” button. This will keep them within the organization directory but they won’t join any programs or be sent rewards. 

 First, filter the employee directory by “removed” users to find the individual in the directory: 

 Click on the user to open a pop-up with their information. 

 To re-add the user, click on the blue “Add to organization” button on the bottom left-hand side of the pop-up:

How to manage your employee directory in PerkUp

With over 15 HRIS integrations - including Workday, Gusto, BambooHR, Rippling, and more - this daily sync will import your employee directory into PerkUp and automatically make updates depending on changes within your team.

The integration adds new employees to your company’s directory and automatically deactivates the accounts of employees that leave the company.

Slack is a great internal communication tool that supports countless companies in their day-to-day operations and you can now integrate it onto PerkUp! Stay up to date with all important information by learning how to connect to Slack here.

Your team will now receive notifications about rewards, anniversaries, and Birthday announcements!
