Balance reports and transaction exports

Explains how admins find monthly balance reports on an account's Balance activity tab and download CSV summary, detailed, and reward exports for finance reconciliation.

This article explains how to find your monthly balance reports and download CSV exports for reconciliation, so your finance team can self-serve without contacting support.

Where do I find balance reports?

Balance reports live on the Balance activity tab of each account page. Go to Funding accounts, open the account you want to report on, and select the Balance activity tab. Reports are organized by month and show a running summary alongside per-transaction detail.

What does a monthly balance report include?

Each monthly balance report shows six figures for that account:

  • Opening balance — the balance carried in from the end of the prior month

  • Deposited — funds added during the month

  • Refunded — refunds credited back to the account

  • Spent — funds spent during the month

  • Adjustments — balance corrections applied by support

  • Ending balance — the balance carried forward to the next month

Each of these figures can be expanded to show the individual transactions that make it up, so you can trace any monthly total down to the specific deposit, spend, refund, or adjustment behind it.

How do I export a balance report as a CSV?

From the Balance activity tab, you can download three types of CSV reports:

  • Summary report — the monthly totals (opening balance, deposited, refunded, spent, adjustments, ending balance)

  • Detailed report — every transaction underlying those totals

  • Reward report — a breakdown of rewards sent from the account

Choose the report type and download it directly from the Balance activity tab. Each export reflects the account and month you're currently viewing.

Can I see invoices and permissions from the same place?

Yes. The account page also has Invoices, Permissions, and Notifications tabs alongside Balance activity, so you can move between balance history, invoice status, who has access to the account, and low-balance alerts without leaving the page. What's the difference between "current balance" and "unredeemed rewards"?

The account page's overview shows three related figures: Current balance is the money actually stored with PerkUp. Unredeemed rewards is the total of rewards you've sent that recipients haven't yet redeemed — this is an outstanding liability, not spent money, and you can expand it to see the detail. Surplus/Exposure is your current balance minus unredeemed rewards, showing how much of your balance is uncommitted. Who can access balance reports and exports?

You need admin or manager access with fund permission on the account to view its Balance activity tab and download reports. If you can't see an account you expect to, check with your organization's admin about your permissions — see "Granting admin or manager access" for how access is managed.
