Billing entities: separate invoicing for different offices or legal entities

Explains how admins self-serve update billing entity details (legal name, address, billing email), manage multiple entities, and the limits on archiving them.

This article explains how to create a separate billing entity for a different office or legal entity, and how to update billing details — legal name, address, and invoice email — for any entity. You need admin access to make these changes.

What is a billing entity?

A billing entity holds the details that appear on your invoices: legal name, display name, a region label, a billing email, and a full billing address. Every invoice is issued from a specific billing entity, so getting these details right keeps your invoices accurate for your finance team.

Creating a separate billing entity

Create a separate billing entity when part of your organization needs its own invoices — for example, a different office, a different legal entity, or a different region with its own finance team. Each billing entity is billed and invoiced independently, so splitting entities keeps each office's or legal entity's paperwork clean instead of mixing everything into one invoice stream.

A billing entity holds: legal name, display name, a region label, a full billing address, and a billing email. The billing email is where that entity's invoices are sent — each entity supports exactly one recipient, with no CC list.

Once you have more than one billing entity, invoicing and top-ups work per entity:

  • When you add funds to an account, you'll pick which entity the invoice should be issued from.

  • The Billing page has an entity picker at the top, so you can switch between entities to see each one's separate invoice list.

Admins can archive a billing entity that's no longer needed, with two limits: you cannot archive your default billing entity, and you cannot archive your last remaining active billing entity — at least one must stay active. If you need to retire your default entity or your last remaining active one, contact support through the messenger and we'll help you make the change.

How do I update my billing details?

Open your billing entity and edit the fields directly — legal name, display name, region label, billing email, or billing address. Changes apply to future invoices issued from that entity. This is fully self-serve for admins; you don't need to contact support to update these details.

Where do invoices get sent?

Invoices are sent to the billing email set on the entity. Each entity supports exactly one billing email — there's no option to add a CC list or multiple recipients. If more than one person needs to see invoices, share the billing email inbox internally or forward invoices after they arrive.

Can I change my payment method or subscription here?

No. Updating your saved payment method and managing your subscription are handled in a separate, hosted billing portal — they're not part of billing entity settings.

Can I self-serve a change to my payment terms?

No. Payment terms (such as Net-30) are set up for your organization and aren't editable from billing entity settings. Your current terms are shown on the Billing page. Contact support through the messenger if you need to discuss different terms — see "Payment terms on invoices" for details.

Who can manage billing entities?

Only users with admin access can create, edit, or archive billing entities. If you don't see this option, ask an existing admin at your organization to make the change or grant you admin access.
