This article walks you through placing a bulk swag order, from building your cart to delivery, so you know what to expect at each stage.

What's the difference between bulk and on-demand swag?

Bulk swag orders use quantity-tiered pricing with per-product minimums, and items are produced specifically for your order rather than printed one at a time. Bulk is the right choice when you're ordering for an event, a new-hire wave, or restocking your inventory. If you want to try a product before committing to a full order, you can place a sample order of quantity 1 — samples skip the usual minimums.

How do I start a bulk order?

Go to Bulk orders and build your cart: add products, choose decorations (like embroidery or DTG printing), and set quantities for each item. If you want to bundle multiple items into a single package per recipient, turn on kit mode — see "Creating kits (bundle products into one package)" for details.

What happens after I build my cart?

A bulk order moves through several steps before it ships:

  1. Shipping allocations: decide where the order goes — one or more addresses, a PerkUp warehouse to hold as inventory, or an event location. See "Shipping bulk orders to offices, warehouses, and events" for how to split an order across multiple destinations.

  2. Approval: the order goes to an approver — any admin, or a specific reviewer if your org uses named approvers. You can also share the order as a presentation with stakeholders before approving.

  3. Payment: once approved, pay from your org balance, a credit card, or invoice, and choose which billing entity the charge applies to.

  4. Proofing: before production starts, you'll review and approve proofs for each customized item. See "Reviewing and approving proofs" — this is the step that unlocks production.

  5. Production and delivery: once every proof is approved, the order moves into production, then ships to your allocated destinations or is stocked in your warehouse.

Success looks like your order reaching "delivered" or "stocked" status with tracking available for each shipment. If your order seems stuck at any stage, check whether a proof is still waiting on your approval — that's the most common reason production hasn't started.

Can I cancel a bulk order after I place it?

You can cancel a bulk order only while it's still in the proofing stage — once every proof is approved and production begins, it can no longer be cancelled. Cancellation is support-assisted: contact support through the messenger with your order number, and they'll reverse the order, restoring your balance or voiding the invoice.

What if I need a product that isn't in the catalog?

The bulk catalog carries a much wider range of products than the on-demand catalog, and PerkUp can often source specific products for bulk orders on request. If you don't see what you need, contact support through the messenger and describe the product — include quantity and timeline if you know them.
