This article explains how proof review works on a bulk swag order and why approving your proofs is the step that starts production.
What is a proof?
A proof is a preview of how your customized product will actually be produced — depending on the item, it's a link, file, or image showing the decoration (logo placement, colors, print technique) applied to the product. PerkUp generates a proof for each customized production run in your order, not just one proof for the whole order.
Why do I need to approve proofs before my order ships?
Production does not start until every proof on your order is approved. Proofing exists to catch problems — a misaligned logo, a wrong color, a low-resolution graphic — before the product is physically made. If you have multiple customized items, each one has its own proof, and each needs its own approval before that item moves into production.
Where do I review proofs?
Open your order in Bulk orders. Orders with proofs outstanding show a status that rolls up across the whole order:
Waiting for proofs — PerkUp hasn't generated the proof yet.
Pending approvals — at least one proof is ready and needs your review.
Everything approved — all proofs are approved and the order is clear to produce.
Rejected — at least one proof was rejected and needs rework.
How do I approve or reject a proof?
Open each proof from the order and review the decoration against what you intended. From there:
Approve the proof if it looks correct — this clears that item for production.
Reject the proof if something's wrong, and add a note describing what needs to change (for example, "move the logo higher on the left chest" or "use the navy logo file, not black").
Wait for a revised proof if you rejected one — PerkUp will generate a new version for you to review.
Success looks like every proof on the order showing "approved," which moves the whole order into production. If a proof sits in "pending approvals" for a while, that's on you to review — nothing else in the order will progress until you do.
Can I still cancel my order while I'm reviewing proofs?
Yes. Proofing is the only stage where a bulk order can still be cancelled. If you decide not to move forward, contact support through the messenger with your order number before you approve the remaining proofs — once every proof is approved, production begins and the order can no longer be cancelled.
