Resending, expiring, or cancelling a sent reward

This article covers the three ways to manage a reward after it's been sent: resending the reminder email, expiring the program, and removing a recipient to revoke an unclaimed reward.

How do I resend a reward reminder?

If a recipient hasn't claimed their reward, you can manually trigger a reminder email instead of waiting for the automatic daily reminder (sent at 9:30am to anyone who hasn't spent). Open the program from Send a reward and trigger a resend for the whole program or for a specific member. Manual resends automatically skip anyone who has already spent their reward, so you can safely resend to an entire recipient list without re-notifying people who already claimed.

How do I stop a reward program from accepting more spend?

Every program has a start and end date, and it only allows spend while active. If you need to cut it off early — say, you sent to the wrong group or need to freeze spending — open the program and expire it immediately. Expiring a program ends it right away and stops any further spend: once expired, unclaimed budgets stop being spendable. This is the tool to reach for when you need to shut a program down now rather than waiting for its scheduled end date.

How do I cancel or revoke a single person's unclaimed reward?

To revoke a reward for one recipient without affecting the rest of the program, remove that person as a recipient. Removing a recipient revokes their unclaimed reward — this is the correct move for a wrong-recipient mistake (e.g., you meant to reward a different person, or someone left the company) where the rest of the program should keep running normally for everyone else.

If a person already claimed and spent their reward, removing them as a recipient does not reverse the spend — it only revokes an unclaimed reward that hasn't been used yet.

What's the difference between expiring a program and removing a recipient?

Use expiring a program when you want to stop the entire program for every recipient at once. Use removing a recipient when only one person's reward needs to be pulled back and everyone else should be unaffected. Both actions work by stopping future spendability — neither one generates an automatic refund or ledger credit back to your funding account; they simply end the ability to spend.

What happens to someone's reward if they're offboarded from the company?

Removing a person from your organization automatically un-enrolls them from all programs and deletes any of their scheduled (not-yet-sent) rewards — you don't need to separately revoke each one. See "Offboarding: removing people" for the full offboarding flow.
