This article explains the three PerkUp roles — admin, manager, and member — and how a second layer of funding account permissions determines who can actually send rewards.
What are the three PerkUp roles?
Every person in your organization's directory has one role: admin, manager, or member. You set the role when you invite someone (by email, CSV import, or HRIS sync). Admins have full access to organization settings, billing, and every program. Managers can take program actions but only within what their funding account permissions allow. Members can act only on their own membership — claiming rewards, managing their own profile — and have no access to organization-wide admin tools.
What can each role do?
Program actions — activating, expiring, editing, or sending direct-mail rewards — require the admin or manager role. Members cannot take these actions on anyone's behalf, only on their own account. Beyond role, whether a manager can actually send from a given program depends on a second layer: their permission on that program's funding account, covered below.
Why can't my manager send rewards even though they have the manager role?
This is the most common source of access confusion, so it's worth understanding as a two-layer model:
Role (admin, manager, or member) — set on the person in your directory.
Funding account permission (full, send, or view) — set per person, per funding account, independent of role.
Having the manager role alone doesn't grant access to any funding account. A manager needs at least send permission on the specific account a program draws from before they can activate, edit, or send rewards from it. Without that permission, the manager role gives them no ability to spend from that account — even though their role technically allows program actions. Admins default to full permission on funding accounts, so this restriction typically only affects managers.
What do the funding account permission levels mean?
Each person can be granted one of three permission levels on a funding account:
Full — can view, send from, and manage the account. Admins have this by default.
Send — the minimum level needed to fund or send rewards from the account.
View — can see the account's balance and activity but cannot send from it.
To grant a manager the ability to send from a program, give them at least send permission on the funding account that program uses. Every program draws from one funding account, so check the program's account and the manager's permission on that specific account if a send action isn't working as expected.
How do I set someone's role or funding account permission?
You need admin access to change roles or funding account permissions. Roles are set from your Directory when you invite someone or by editing an existing person's record. Funding account permissions are set from Funding accounts, where you can grant full, send, or view access to specific people per account. Can organizations hide billing from managers?
Yes. Organizations can choose to hide invoicing from managers, so a manager may have program access without visibility into billing details. This is separate from funding account permissions and role — it's an additional organization-level setting.
What if a manager still can't take an action after I change their role or permission?
If a manager still can't take an expected action, re-check both layers: their role in the Directory and their permission on the specific funding account the program draws from in Funding accounts. Remember that a manager needs at least send permission on that exact account. If both are set correctly and the action still isn't working, contact support through the messenger on this help center or in the app, and include the person's name, the program or funding account involved, and the action they're trying to take.
