This article explains how to track and manage redemptions once your redemption page is live, including how approvals, statuses, and notifications work. You'll need admin access to a redemption page to manage its redemptions.
Where do I see redemptions coming in?
Open the specific page from Redemption pages in your admin dashboard to see every submission for that page, along with its current status. This is the place to check progress on a swag drop or event without waiting for individual updates.
What status does a redemption move through?
Each redemption progresses through the following stages, in order:
Collected — the recipient has submitted their selection and shipping details.
Ordered — the redemption has been turned into an order.
In production — the item is being produced or picked.
Warehoused — for pages fulfilling from stocked inventory, the item is ready at a PerkUp warehouse (this stage also covers pickup-ready items).
Shipped — the order is on its way.
Delivered — the recipient has received their item.
If the page has an approval workflow enabled, redemptions also carry an approval state alongside these statuses — a redemption won't move into production until it's approved.
How do approvals work?
If you turned on the optional approval workflow when setting up the page, each redemption waits for admin sign-off before it's ordered. Review the recipient's selection in the redemption list and approve or hold it there. Redemptions without approval enabled move straight from collected to ordered.
How do budget warnings work?
For budget-based redemption pages, PerkUp tracks total spend against the page's overall cap and sends a warning once the page reaches 80% of its budget, and another at 90%. Use these warnings as your signal to top off the funding account or close the page before the budget runs out.
How do I get notified about new redemptions?
Each redemption page has its own notification settings. You can turn on email or Slack alerts for individual redemptions as they come in, or switch to a digest that summarizes activity instead of notifying you on every submission. Configure these from the same page settings where you set up access and product selection.
Can a recipient cancel their own redemption?
Recipients redeem through the public page and don't have a self-serve way to cancel or change a redemption afterward. If a recipient needs to change their shipping address or cancel an order after redeeming, reach out to support through the messenger with the redemption page name and the recipient's details.
