This article walks you through sending a reward or gift to one or more people on your team, from choosing an occasion to scheduling the send.
Who can send a reward?
You need admin or manager access to send a reward, and you need at least Send permission on the funding account you plan to use (admins have this by default; managers need it granted). If you don't have the right account permission, ask an admin to grant it or to send on your behalf.
How do I start a new reward?
Start a new reward from the new-reward wizard in your admin dashboard. The wizard walks you through five steps, in order:
Occasion — pick why you're sending the reward (for example, a birthday, work anniversary, or a one-off thank-you).
Reward — choose what you're sending: PerkUp dollars, swag, a catalog item, a gift card, or an Amazon product.
Email content — set the banner image, title, "from" name, and a personal note that recipients will see in their reward email.
Recipients — choose who receives the reward.
Budget and funding account — set the dollar amount per recipient and choose which account it's funded from.
Once you've completed all five steps, you can send the reward immediately or schedule it for later.
What reward types can I send?
You can choose from PerkUp dollars, swag, catalog items, gift cards, or Amazon products in the reward step. Each type has its own selection screen with its own options — see the help article for that specific reward type for details on choosing and customizing it.
How do I choose recipients?
On the recipients step, you can pick existing people from your directory (optionally narrowed with label filters like department or location), paste in a list of email addresses, or upload a CSV. If you paste or upload an email address that isn't already in your directory, that person is automatically added as a new person — see "Sending rewards in bulk with a CSV" for more on this behavior.
How does budget and funding work?
On the budget step, set the dollar amount each recipient receives and choose which funding account covers the send. Every reward you send draws from a funding account, and you need Send permission on that account to activate the send.
Can I schedule a reward instead of sending it right away?
Yes. Instead of sending immediately, choose "Schedule for later" and pick a date and time using the 15-minute time-slot picker. You can't schedule a send in the past. Scheduled sends go out within about 15 minutes of the time you chose. If you remove a recipient before the scheduled time, their scheduled reward is deleted and they won't receive it.
What happens after I send a reward?
Recipients get an email (and a Slack DM too, if your organization has Slack connected and the reward has that option turned on) with a claim link. They click through to reveal their gift, choose or confirm their item, and complete checkout. You can see each recipient's email status — delivered, opened, clicked, or bounced — and their claim status on the program page. If someone hasn't claimed their reward yet, you can trigger a reminder email manually, in addition to the automatic daily reminder sent at 9:30am to anyone who hasn't spent.
Two options you might miss
Restrict where a reward can be spent: open the sent reward and use "Edit categories" to limit merchant categories — the change applies to every recipient.
Pay by card instead of a budget: at the review step you can choose an external credit-card checkout rather than drawing from a funding account.
If the gift-card option is missing from your send flow, your organization has gift cards turned off in its settings.
